Adobe has moved to a cloud licensing model. The licenses are purchased annually on a subscription basis. Departments are responsible for the purchase and management of these term subscription licenses.
Who is Eligible?
Active Faculty or Staff
Authorized Named Users and Team Licenses
Licenses will be sold through the Value Incentive Program (VIP). There are three license types available through the VIP Program:
- Individual Named User License
- Device License- see Shared Device License Documentation for instructions for new license model (2019)
- Team Licenses
There are two products available for each license type:
- Individual Apps (individual products)
- Creative Cloud Suite
(If a department needs 2 or more individual products, it makes more sense to buy the suite)
Installing Licenses and Shared Device License Instructions
Each department currently has an individually managed VIP account. Note that all VIP accounts will be moving a single VIP Admin console over the next two (2) years; this includes Shared Device licenses to start, and then including Authorized Named User and Teams licenses.
This shift co-termed all Adobe renewals to the 8-2-2020 renewal term date for the VIP account. Even if you just completed a PO for the Adobe license, you are required to complete a purchase a full year renewal and will be annually Any and all new license requests follow this co-terming model. Your most current quote was co-termed to the August renewal date- we did note this in each review ticket. It is your responsibility to review the reports send out each year in May to locate your renewals.
Planning with your Budget Office
Please note that August falls in the next Fiscal Year and your budget should align. Please share this information with your budget managers for awareness. Therefore, we are sending the reports out now so that you can work on creating a quote with the preferred vendor Direct in early July for the August deadline.
Support Purchasing Workload Volume
Please also note, that you will be receiving a second report for SDL shared device licenses in a second email. We encourage you to request all of your renewals on a single quote with the preferred vendor for Adobe purchases for both Named user and Shared Device Licenses. Renewals are still required to be purchased using an OU PO only.
Process Change
Please note, going forward that your current Adobe Licenses renewals [ONLY] can be renewed without a submitting a software renewal ticket through this co-terming process, because your users and folders are already added to the portal that you manage today.
However ANY AND ALL New license requests, still require that you submit a UTS software request form for 3 reasons:
- We are still reviewing compliance with the license type being purchased
- We are still required to add these users to the portal
- You are still required to purchase via a Purchase order only.
Departments will be responsible to manage and distribute licenses through a Product and Deployment Administrator account assigned for each department or school. This included assigning and revoking licenses, packaging and deploying licenses and managing the purchases for shared Device Licenses. Departments will create Purchase Orders for the number of licenses that are requested by their faculty and staff. UTS will assist with creating the Product and Deployment Administrator accounts and Product Profiles.

License Types
- Individual Named User License - a license for use by a single named user on 1 Oakland owned device only.
- Device License - a license for a specific Oakland owned device.
- Team Licenses - a license for use by a single named user on 1 Oakland owned device only. This license allows users to collaborate on projects in the cloud. Each team's user is required to have their own named user license.
License Quotes
You will need to obtain a quote from the preferred vendor to purchase Adobe cloud apps. Tiered pricing considerations start after 50 apps are purchased. No minimum contract required- this is a cumulative purchase and co-terms to contract date by department for each annual renewal.
