This article explains how to properly close out a completed project in TeamDynamix (TDX). It is intended to guide project managers and project contributors through the close-out process to ensure that projects are finalized accurately, documentation is preserved, and reporting reflects the project’s completion. 

The goal is not to require users to have in-depth project management expertise, but to provide clear and practical steps to confidently close a project in TDX once work has concluded. By consistently closing projects once work is complete, departments help maintain reliable data in TDX and support better planning, transparency, and institutional knowledge over time.

When a project reaches completion in TDX, it should be formally closed using the Close action within the project. Closing a project ensures that:

  • Outstanding items are resolved
  • Project documentation is retained
  • Time and expense entry is disabled
  • The project status is reflected correctly in reporting

TDX guides users through several close-out actions to help standardize this process and prevent incomplete or inconsistent project records.

Procedures

Accessing the Project to be Closed

To begin the close-out process:

  1. Navigate to Applications Menu → Projects
  2. Locate the project under My Projects
  3. Select the project you intend to close

Before proceeding, confirm that required project fields have been completed and that the project is ready for closure.

Closing a Project in TDX

Within the project:

  1. Select Actions
  2. Choose Close

TDX will display a series of close-out steps that should be reviewed and completed.

Copy Files to the File Cabinet

This step allows project documentation to be preserved for future reference.

  • ENSURE to add both the business case and any tickets into the Briefcase in the left sidebar.
  • Also include any relevant files, notes, or background information that may be useful later

This helps ensure that project knowledge is not lost once the project is closed.

Closing Unfinished Items

If the project work is complete:

  • Select the option to close any remaining Issues or Risks
  • You will be prompted to choose a closing status
    • Select a status with a type of Closed or Canceled
    • Example: Completed

This step ensures no open items remain tied to a completed project.

Requesting Feedback (Optional)

TDX may allow a project survey to be assigned during close-out.

  • If a survey is available and applicable, it can be selected
  • If no survey is assigned to the project, this step may be left blank

Setting Project Status and Health

During close-out, complete the following fields accurately:

  • Project Status
    • Set to Completed
  • Active / Inactive
    • Select Inactive to prevent additional time or expense entries
  • Outcome
    • Example: Met Expectations
  • Health
    • Select the appropriate indicator (e.g., Green / Good)
  • Percent Complete
    • Set to 100% (If applicable)

These fields directly affect reporting and project visibility across TDX.

Adding Final Comments

Use the comments or observations field to:

  • Summarize how the project went
  • Document key findings or lessons learned
  • Note whether the project may need to be revisited in the future

This information provides valuable context for stakeholders and future reference.

Saving and Completing the Close-Out

After reviewing all selections:

  1. Confirm the information entered is accurate
  2. Select Save

The project will now be formally closed in TDX.

Result of Closing a Project

Once closed:

  • The project status is Completed
  • The project is Inactive
  • No further updates, time, or expenses can be added
  • Documentation is retained for historical and reporting purposes
