Google Workspace FAQ

Oakland University provides access to a suite of Google services through the G Suite for Education agreement. This article covers frequently asked questions about the core Google apps available to the university community, as well as additional services and terms of use. The information will help users understand what is available, how to access the services, and how to navigate any required agreements.

What Google Applications are available for usage?

Oakland University’s agreement covers Google's core suite of G Suite for Education. These core services are available for students, faculty, and staff. Below is a list of Google apps that you can use:

  1. Gmail – Email service.
  2. Drive – Cloud storage for files.
  3. Calendar – Scheduling and event management.
  4. Docs – Document creation and editing.
  5. Classroom – Online classroom management and communication.
  6. Forms – Create forms, surveys, and quizzes.
  7. Contacts – Organize and manage your contacts.
  8. Sheets – Create and edit spreadsheets.
  9. Sites – Build and manage websites.
  10. Slides – Create and edit presentations.
  11. Keep – Capture and organize notes.
  12. Meet – Video conferencing and meetings.
  13. Takeout – Export data from Google services to another account.

Additional Services

In addition to the core services covered by the university's agreement, "Additional Services" are Google apps and features that are not covered under the university agreement. These services require individual consent and are not enabled by default. Please note that these services are not covered by the university’s Google Apps support terms or service level agreement (SLA), and their availability may vary.

  • YouTube - Upload and view videos.
  • Google Photos - Storage and management of photos. 
  • Google Groups – Create and participate in groups for email lists or forums.

Storage Limitations

A 2TB storage limitation was imposed on all Oakland University Google Workspace accounts in July of 2022. For tips regarding managing storage, please look below:

  • To view current storage, visit: https://drive.google.com/settings/storage
  • To identify and delete large, unnecessary files, visit drive.google.com/drive/quota
  • In the email and Google Drive search field, look for files ending in .iso, .mp4, .mov and .wav to find large unnecessary storage utilization.
  • To perform a bulk deletion in email, select the square at the far left to “select all” and then choose the option below to select all conversations that match this search and the select “delete” from the trash can item above. You will be asked to “Confirm Bulk Action” and select OK.
  • Remember to empty the trash to free up space.

Google Workspace Account Eligibility

All active Faculty, Staff, and Students are eligible for a Google Workspace account. NetID accounts reactivated more than 6 years after a user’s graduation date are ineligible for a Google Workspace account and will not have access to the services mentioned above.
